Logistical Support To Country Programmes
The procurement support services unit is responsible for procurement and delivery of goods and services essentially needed for the implementation of WHO collaborative programme activities.
Description of duties:
Purpose of the Position:

To render administrative/secretarial assistance in relation to the shipping activities of the LSP Shipping sub-unit.

Organizational context:

Work is performed within a normal office environment. Work is assigned by supervisor who gives instructions on non-routine matters. Routine work is performed independently within detailed guidelines.

Summary of Assigned Duties:

Under the direct supervision of Procurement Officer, the incumbent will perform the following tasks:

1. Drafts and types routine correspondence and documents relating to shipping activities in accordance with standard office procedures. Drafts follow-up correspondence pertaining to execution and safe receipt of supplies and overseas shipments.
2. Ensures that copies of purchase orders, shipping documents and receiving reports are dispatched to WR/Office and concerned Project Managers.
3. Checks the delivery status, receipt status, payment status, supplier's information and generates internal copy of Purchase Order in GSM.
4. Prepares instruction letters to PRI and/or registry for clearance of goods anf follows-up timely delivery of goods to the end-users.
5. Maintains and updates records related to shipping documents/receiving reports, claim documents and insurance. upload related shipping documents in RMS.
6. Drafts requests to GSC Accounts Payable to effect payment for suppliers.
7. Replaces shipping technical assistant, assists and replaces other administrative staff, as required.

Achievement Activities include:
- Efficient flow of information and filing system of.
- Meet deadlines and timely respond to requests.
- Timely and accurate handling of suppliers' claims and invoices.
Essential: Completion of secondary education.

Desirable: University degree in business administration, social sciences or related field is an asset.

Functional Skills and Knowledge:

- Good knowledge of pertinent WHO procedures and established rules.
- Good drafting skills.
- Ability to deal with people of diverse backgrounds
- Good filing and organizational skills.

Other skills:

- Ability to operate PC and good knowledge of Microsoft applications
- Knowledge of GSM/Oracle applications.
Experience: At least two to four years of relevant administrative experience preferably in the field of logistics and shipping.
Languages: Very good knowledge of English and Arabic. French is an asset.
