Organization unit:
The Pension Unit (PEN) is responsible for the administration of all pension fund matters within WHO including tasks related to the advisory and governance matters of the WHO Staff Pension Committee, processing of separation files of participants, validations, restorations, transfers, leave without pay, and briefings to participants on their pension options and benefits.
Description of duties:
1. Prepares all separation files, running all related reports in PENSYS, GSM and other sources, and proceeding to basic verification to check accuracy of data and to facilitate/expedite processing of files by colleagues.
2. Reviews the accuracy and validity of all payment instructions received, reverts to participant, Regional or Country office focal points if required to obtain additional/valid information, records receipt of all documents in the log on a daily basis.
3. Monitors and administers all the Deferment and E (missing payment instructions) cases; initiates correspondence and/or personal contacts with participants, other services within HQ, Regional and Country offices or UNJSPF to follow-up on missing forms or information and initiates appropriate action as required in the PENSYS.
4. Coordinates with Regional and Country offices, PAHO and IARC on missing UNJSPF Beneficiaries Certificate of Entitlements.
5. Monitors receipt of benefit letters and enters related actions in the PENSYS.
6. Manages on a daily basis the pension generic e-mail inbox and responds to routine queries by providing information or basic briefings to participants and/or forwards them to colleagues for appropriate action.
7. Ensures daily, accurate and timely registration and distribution of incoming and outgoing mail; photocopies or scans documents as required for uploading in the RMS pension folders.
8. Maintains a comprehensive and up to date filing system for all documents, records and reports, including related lists to facilitate searches.
9. Files and verifies all new WHO/IARC/PAHO participants affiliation records and Designation of Beneficiaries forms.
10. Back-up for functions of post number HQ310895.
11. Maintains absolute confidentiality on all pension matters and pension records.
12. Performs other related duties as required or instructed to take into consideration seasonal core activities.
Completion of secondary school or its equivalent accounting or commercial school.
Higher education an advantage.
Knowledge of UNJSPF pension and administration and related procedures; Ability to work efficiently in a team under pressure and to meet individual and group objectives; Sound judgement, integrity, tact and discretion; Demonstrated use of initiative and ability to make appropriate linkages in work processes and anticipate next steps; Speaks and writes clearly and effectively; Listens to others; client service oriented. Good knowledge of GSM, PENSYS, legacy systems, Microsoft Office.

At least three years' experience in the administration of pension benefits within UN system.
Experience in the administration of social security benefits within WHO an asset.
Expert knowledge of French required.
Intermediate knowledge of English and Spanish.

Annual salary: (Net of tax)
net CHF 68611 at single rate
net CHF 68611 with primary dependants
