Description of duties:
Purpose of the position:
To drive the office vehicles in a safe and careful manner for the transport of authorized personnel, goods and supplies. To ensure the day-to-day maintenance of the WHO office vehicles used, keeping them in good working order. To assist the CO staff with logistic arrangements during the organization of meetings and other events, office maintenance and some routine clerical tasks. To provide logistical support to visitors.

As part of a unit team, the incumbent provides a variety of tasks in support of the functioning of the WHO Country Office:
  • Drives office vehicles for the transport of Head of Country Office, the country office staff and other authorized personnel for performing official duties with due regard to time schedules. Driving of office vehicles in country or other countries when required. Applies knowledge of driving regulations, safety requirements, traffic and conditions and most desirable routes to minimize travel time. Assists passengers in entering or leaving the office vehicle; load and unload baggage, parcels, documents, goods or supplies. Logs official trips, daily mileage, gas consumption, oil changes, greasing, etc.
  • Responsible for the day-to-day maintenance of the assigned office vehicle, checks oils, water, battery, brakes, tires, etc., performs minor repairs and arranges for other repairs and ensures that the office vehicle is kept clean.
  • Meets official personnel at the airport when necessary and facilitates immigration and customs formalities as required. Provides logistical assistance to the country office staff and international visiting experts and consultants: visas, air tickets, customs formalities, hotel accommodation and transportation.
  • Delivers and collects mail, documents and other items when required. Makes minor purchases and collects urgently required goods from local suppliers on demand. Processes customs clearance of goods including follows up with customs authorities, local authorities and technical and administrative staff in HQ and EURO. Collects goods from customs with due regard to routine customs regulations and formalities; makes or collects payment for goods if required.
  • Serves as back up to administrative personnel when required, including administration of small portions of cash advances from CO petty cash, negotiation, liaison and coordination with local authorities to facilitate smooth running of vehicle movements in the designated area. Assists with office maintenance, printing, scanning and photocopying of documents, logistics in connection with meetings and other events. Responds and acts on routine telephone calls in connection with such tasks, and brings matters to attention of relevant staff members as appropriate. Assists and or covers for the AA in the area of office logistics, assist in maintaining logistic records, management of inventory and communication systems in compliance with WHO established rules and procedures. Assists the AA in local and international procurement of office supplies and equipment..
  • Takes suitable precautions for the security of the office vehicle and its contents when left unattended. Ensures that the office vehicle is properly kept (in the garage or on the secured cark park) during non-working hours.
  • Ensures that all rules, regulations and local requirements are adhered to in the event of involvement in an accident.
  • Performs other related duties as required.
Essential: Equivalent to secondary education. Driver's licence.
Functional skills and knowledge: Essential:
  • Knowledge of driving rules and regulations and chauffeur courtesies, skills in minor vehicle repair.
  • Some knowledge in and experience of application of PC software technologies, as well as in the use of photocopiers and printers.

  1. Communicating in a credible and effective way: The incumbent is often the first point of contact for visitors and Regional Office staff, and good communication skills are essential.
  2. Fostering integration and teamwork: Efficiency of the functions delivered by the Country Office depends to a great degree on the cohesion and teamwork of its staff, of which this position is an important part.
  3. Knowing and managing yourself: The incumbent may be exposed to situations where clear information or direction is not immediately available and may need to remain productive, positive and courteous in occasional unforeseen situations of high workload and work pressure.
  4. Respecting and promoting individual and cultural differences: In EURO's international environment, it is essential that the incumbent shows maturity of judgment in and respect for cultural and gender issues/differences and applies this in his/her daily work.
  5. Producing results: The incumbent will need to produce, in this key service function, workable solutions that meet clients' needs; he/she will need to take initiative and to takes corrective action without being prompted.
At least four years' work experience as a driver; safe driving record.
Essential: English and local language:
To read and understand the essential meaning of a wide variety of written material including WHO guidelines, manuals and instructions; to be able to prepare internal notes and complete necessary forms; to communicate with official visitors to the country.
Desirable: Knowledge of other languages.
