OBJECTIVES OF THE PROGRAMME :
Staff Association ensures that the condition of employment of the staff of WHO/WPR conforms with the principles estalished in the Constitution of WHO and in the Staff Regulations and Rules and other provisions applicable to the staff; safeguards the staff rights and interests, moral and material; promotes staff welfare and; fosters spirit of mutual understanding and cooperation among its members.
Description of duties:
Under the direct supervision of the Chairperson of the Staff Association, the incumbent performs the following functions:

1. Works in coordination with the Staff Committee, Budget Unit and Office of the Director, Administration and Finance on administrative matters relating to the implementation of the Staff Association workplan.

2. Receives and screens incoming correspondence, documents and reports and routes to the appropriate Staff Committee member with full background materials; ensures their distribution and follows up on deadline.

3. Keeps and maintains a calendar of activities of the Staff Association and coordinates with other units concerned regarding necessary preparations in accomplishing a task/activity.

4. Assists in disseminating information on relevant issues and decisions concerning the general membership by drafting correspondence and/or sending out email messages.

5. Maintains an updated and orderly records of all Staff Association members.

6. Prepares the necessary books of accounts such as the Cash Disbursement Book, Cash Receipts Books and General Journal Book of the Staff Association.

7. Posts/journalizes all financial transactions of the Staff Association, prepares monthly financial statements, monthly payroll input, bank reconciliations, schedules of payables and receivables and accrued expenses. Monitors status and maintains a follow-up system.

8. Ensures that the procurement and financial management guidelines of Staff Association are adhered to, properly updated under the guidance of the Treasurer.

9. Under the guidance of the Staff Committee focal point, manages the Staff Association merchandise (including managing of sales and inventory and quality monitoring) and contracts between Staff Association and its suppliers.

10. Performs other related duties as and when required.
REQUIRED QUALIFICATIONS
Education:
Equivalent to graduation from secondary school with thorough training in secretarial duties, accounting and business practices. Degree in Accountancy and a Certified Public Accountant is preferred.
Skills:
Thorough knowledge of office procedures and good knowledge of accounting procedures; secretarial and computer skills and ability to adapt to various software packages; ability to discern routine from non-routine; ability to draft correspondence, summary of meetings and notes for the records; ability to work harmoniously as a member of a team and adapt to diverse education and cultural backgrounds and maintain a high standards of personal conduct.
Experience:
Five years' experience in administrative assistance. Experience in administrative assistance and accounting in WHO and/or any other international agencies is an advantage.
Languages:
Excellent knowledge of spoken and written English.

Annual salary: (Net of tax)
491 680 at single rate
