OBJECTIFS DU PROGRAMME
The General Management Cluster (GMC) is responsible for the provision of efficient and effective support services to the implementation of health programmes and smooth management of the Regional Office. The Registry Sub-unit which is under the Regional Administrative Services (RAS), organize the records management of the documents produced and received by AFRO in the course of its activities. To elaborate a regional standard policy on the archiving procedures and the indexing of official correspondences, including the tracking of dispatched documents.
Description des fonctions
1.Register, describe, index and maintain documents in the central file area (Registry); classify the documents by files and keep the classification up to date in the centralized file areas;
2.Identify and preserve archives in a systematic way according to administrative, legal, historic and cultural value;
3.Process and prepare the archives to ensure their long-term preservation and determining the timelines for preservation on the basis of records retention schedules;
4.Ensure the transfer of inactive documents and to preserve the documents and ensure their availability in accordance with the policy for external access to the WHO Archives;
5.Organize the tracking system of the files movement within the Organization;
6.Setting up an electronic records management system (E-RMS), digitize documents destined to the virtual central files areas (E-RMS) and maintain the databases.
7.Improve quality and prevent error, damage and injury to documents files and electronic data systems
8.Provide technical advice and train AFRO staff on policy and procedures applicable to current records, how to manage documents files and classify them.
9.Ensure that obsolete documents are safely destroyed;
10.Promote internal and external research in the archives;
11.Organize and manage a reference service to researches.
QUALIFICATIONS REQUISES
Formation :
Essential: University degree in business administration or database management, or For WHO Staff only, equivalent professional training and/or self-study/work experience in the records and archives.

Desirable: Qualifications in management.
Compétences :
Good knowledge of Records and Archives systems;
Excellent inter¬personal relationships with clients and staff at all levels;
Proven ability to lead a team
Expérience :
Essential: Minimum 5 (five) years of relevant experience at national level within governmental and UN agencies;

Desirable: Previous experience in administrative or programme areas in WHO or UN agencies would be an advantage
Langues :
Excellent knowledge of English or French with a good working knowledge of the other; knowledge of Portuguese would be an asset.
