To assist the Member States to prevent and reduce disease, disability and premature death resulting from mental disorders, substance abuse, violence and injuries. To contribute to the realization of the rights of people with disabilities through increasing access to health services and strengthening rehabilitation efforts.
Description of duties:
Under the general supervision and guidance of the Technical Officer (Disability), the incumbent performs the following functions:

1. Receive, screen, track and distribute incoming correspondence, attach background information or related file, and forward them to the staff concerned and draw their attention to specific issues/problems as necessary.

2. Draft replies to general and administrative correspondence on the basis of instructions or on own initiative, and finalize such correspondence.

3. Prepare travel requests for official WHO travel using the Global Management System (GSM); make flight and hotel reservations; prepare travel files and deal with other related matters as requested or on own initiative.

4. Initiate contracts for consultants, Agreements for Performance of Work (APW), Technical Services Agreements (TSA) and General External Services requests (GES), and requisitions for goods procurement through the GSM procurement module; monitor and record receipt of deliverables, and initiate and monitor payments as needed.

5. In collaboration with senior administrative support staff, monitor deadlines, remind staff members of such and ensure that correspondence and queries are responded to in a timely manner.

6. Assist in the preparation of technical reports, documents, tabular materials and presentations, and edit language/grammar/format, in accordance with WHO and departmental styles, as necessary.

7. Obtain documents and information from in-house and external sources as required; perform information searches (library, internet) as requested.

8. Maintain filing systems and ensure that all activities supported are traceable and accessible as required.

9. Screen and receive telephone calls and visitors with tact and discretion; make appointments, answer queries and/or redirect visitors and callers with diplomacy and courtesy; obtain background information on the purpose of appointments.

10. Provide administrative and secretarial support in the arrangement, planning, implementation and evaluation of unit and division meetings, workshops, seminars, etc., including preparation of the lists of participants, travel requests, letters of invitation, files/documents, presentations and slides, and reservation of meeting rooms and hotel accommodation.

11. Replace other support staff in the Unit as required.

12. Perform other related duties, including provision of support to other areas of work and teams within the division, as required or instructed.
Completion of secondary school education or equivalent.
Thorough knowledge of office procedures. Ability to discern routine from non-routine. Ability to draft correspondence, summary of meetings and notes for the records. Good computer skills and ability to adapt to various software applications. Ability to work harmoniously as a member of the team, adapt to diverse educational and cultural backgrounds, and maintain a high standard of personal conduct.
At least three years' experience in secretarial/clerical post. Relevant experience in WHO, another UN agency or other international organizations and experience in Oracle-based or other enterprise resource planning (ERP) systems is an advantage.
Excellent knowledge of spoken and written English.
