Description of duties:
The incumbent provides clerical support to the Headquarters Board of Appeal (HBA) secretariat.

1. Preparation of files (7-11 files per case) for HBA meetings and hearings: photocopying and scanning of file documents, labeling file spines and separators, placement of photocopied documents in the files, delivery of files to HBA Board Members, Administration, Appellant, Attorney, as required.
2. Scanning and filing (electronic and hard copies) of procedural documents in current appeal cases, including: Notice of Intention to Appeal, Power of Attorney, Statement of Appellant, Statement of Administration, Rejoinder, Surrejoinder, Related official correspondence.
3. Basic handling of correspondence, including; reception and distribution, photocopying and scanning, dispatch and filing.
4. Assistance in the handling of appeal files and of HBA file storage/archives(as per instructions received) : re-organization of filing cabinets, removal of old cases for archiving purposes (as per instructions received) creation of larger or supplemental files for existing files, when necessary, reorganization of documents in existing files to ensure their correct order, collaboration with other HBA Secretariat staff as necessary.
5. Other miscellaneous tasks as required
Completion of secondary school education or equivalent.
The incumbent maintains and updates knowledge in the use of office technology through on-the-job training and/or self-training. He/she keeps abreast of changes in procedures and practices, rules and regulations, organizational structure, in the department, the cluster and WHO.
Team player; good office organization skills; responsibility and precision in carrying out tasks and instructions; ability to work in a highly confidential environment.

At least 1 year of clerical experience in an administrative/office environment.
Expert knowledge of English and intermediate knowledge of French would be an asset.

Annual salary: (Net of tax)
CHF 57,728 at single rate
