OBJECTIVES OF THE PROGRAMME :
The Translation unit is responsible for ensuring that all translation requirements of the Organization are addressed efficiently and in a timely manner.
Description of duties:
1. Assist in the preparation of documents for the sixty-fourth session of the WHO Regional Committee for the Western Pacific, e.g. inputting corrections made by freelance translators and preparing the documents into final form.

2. Provide secretarial and other administrative support during the sixty-fourth session of the WHO Regional Committee for the Western Pacific.

3. Take/transcribe non-technical and technical correspondence, documents, reports, etc. in English and French to be included in a computerized database and prepared in final form.

4. Draft the translation of documents, reports, and correspondences for internal use, from French into English and vice-versa, subject for review by the supervisor.

5. Maintain and update the electronic and hard files of the Unit, including the database of freelance translators/interpreters and new terminologies; assist in compiling and maintaining information relevant to the Unit, including office files and reference materials.

6. Draft replies to general correspondence in English and French for clearance of supervisor.

7. Assist in the requisition for goods procurement, Agreements for Performance of Work (APW), Technical Service Agreements (TSA) and General External Services requests (GES) using the Global Management System (GSM); assist in monitoring and recording receipt of deliverables and payments.

8. Review and submit incoming mail to supervisor with background information.

9. Provide support to TPL activities, e.g. drafting correspondence; setting up schedules or appointments for supervisor and visitors; taking notes at meetings and preparing minutes.

10. Perform other related duties as required including relieving other secretarial staff in the unit during absences.
REQUIRED QUALIFICATIONS
Education:
Equivalent to graduation from secondary school or from a recognized French institute with thorough training in secretarial duties and office practices. Formal training as a bilingual secretary an advantage.
Skills:
Thorough knowledge of office procedures; typing skills in English and French at required speeds; ability to draft standard correspondence, summary of meetings and notes for the record; ability to discern routine from non-routine; ability to use word processing equipment; knowledge of other applications preferable. Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain a high standard of personal conduct.
Experience:
At least five years relevant work experience, including secretarial/clerical posts and working in a bilingual (English and French) work environment. Previous experience in an international organization an advantage.
Languages:
Excellent knowledge of spoken and written English and French.

477 362 at single rate
