OBJECTIVES OF THE PROGRAMME :
1. To prevent and reduce disease, disability and premature death from chronic noncommunicable diseases, mental disorders, violence and injuries and visual impairment (Strategic Objective 3);

2. To promote health and development, and prevent or reduce risk factors for health conditions associated with the use of tobacco, alcohol, drugs and other psychoactive substances, unhealthy diets, physical inactivity and unsafe sex (Strategic Objective 6);

3. To promote a healthier environment, intensify primary prevention and influence public policies in all sectors so as to address the root causes of environmental threats to health (Strategic Objective 8).
Description of duties:
Under the general supervision and guidance of the Programme Officer, Noncommunicable Diseases; Programme Officer, Tobacco-Free Initiative; and Technical Officer, Environmental and Occupational Health, the incumbent performs the following functions for the Noncommunicable Diseases, Tobacco-Free Initiative, Health Promotion, and Environmental Health and other related programmes:

1. Screens incoming correspondence, documents, and reports, and routes to the supervisor with full background materials; ensures their distribution and follows up on deadlines;

2. Takes/transcribes technical and non-technical correspondence, reports, from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with procedural accuracy and format;

3. Drafts/prepares general correspondence, briefing notes, background materials, etc. on brief instructions or own initiative; types statements, reports, studies including statistical tables, etc. from manuscripts using traditional or word processing equipment; takes notes at meetings and prepares minutes;

4. Arranges appointments for supervisor; receives visitors; places and screens telephone calls; responds to routine requests for information; and prepares briefing folders for supervisor's duty travels;

5. Opens, organizes and maintains general project files;

6. Assists in searching, compiling and maintaining information relevant to the programme; maintains, updates and monitors information on project activities in the Global Management System and generates reports as required;

7. Provides secretarial support to organize meetings, workshops, and training courses, including preparation of related folders;

8. Provides secretarial and clerical support to visiting staff and consultants as and when required;

9. Occasionally replaces secretarial staff within the office during their absence, as coordinated by the Administrative Assistant;

10. Performs other duties as may be required.
REQUIRED QUALIFICATIONS
Education:
Completed secondary education or equivalent. Additional education or training on office management, communication and related field; knowledgeable in website management and other related ICT programmes is an advantage.
Skills:
Thorough knowledge of WHO administrative rules and regulations, GSM processes, word-processing, and spreadsheets. Comprehension of WHO programming and budgeting rules; basic knowledge on website management; strong interpersonal and communication skills, diplomacy and versatility; highly organized and self-motivated; ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain high standards of personal conduct.
Experience:
Minimum of 2 years of progressively responsible experience in secretarial and/or administrative work, preferably in a large organization. Supervisory experience is an advantage. Experience in budgeting or financial analysis is an asset.
Languages:
Excellent knowledge of spoken and written English.

404 545 at single rate
