OBJECTIVES OF THE PROGRAMME :
To provide secretarial and clerical support to the Tobacco Free Initiative (TFI) focus under the responsibility of the Team Leader, TFI, and to the Division, Building Healthy Communities and Populations (DHP).
Description of duties:
Under the general supervision and guidance of the Team Leader in Tobacco Free Initiative Unit, the incumbent performs the following functions:

(1) Assist in screening incoming correspondence, documents and reports before routing to the supervisor with full background documents; assist in ensuring their distribution and follow up on deadlines;

(2) Take non-technical and technical correspondence, reports, etc., from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with the procedural accuracy and format, type reports, studies,etc. from manuscripts using a word-processing equipment;

(3) Draft correspondence on routine matters on own initiative or from brief instructions, take notes at meetings as basis for minutes;

(4) Arrange appointments for supervisor and other TFI professional staff, receive visitors, place and screen telephone calls, respond to routine requests for information and prepare briefing folders for supervisor and other TFI professional staff's duty travels;

(5) Provide secretarial and clerical support to visiting staff and consultants as and when required;

(6) Assist in TFI Unit's information management, including publications, advocacy and training materials, website and database updates and disseminating information to country offices, staff and partners;

(7) Provide administrative and secretarial support in the arrangement, planning, implementation and evaluation of TFI meetings, workshops and training courses;

(8) Occasionally replace secretarial staff within the division during their absence, as coordinated by the first level supervisor;

(9) Perform other related duties as required or instructed, including provision of support to other areas of work and teams within the division.
REQUIRED QUALIFICATIONS
Education:
Equivalent to graduation from secondary school with thorough training in secretarial and clerical duties. Formal or self-training in the use of standard office software and/or training in Oracle-based or other Enterprise Resource Planning (ERP) systems is an asset.
Skills:
Thorough knowledge of office procedures; typing and stenographic skills at required speeds; ability to discern routine from non-routine; ability to draft correspondence, summary of meetings and notes for the record; ability to use word-processing equipment; use of other applications preferable; ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds, and maintain high standards of personal conduct.
Experience:
Three years of relevant experience in secretarial/clerical post. Similar work experience in a large organization, preferably in WHO or in another international organization is an advantage.
Languages:
Excellent knowledge of spoken and written English.

404 545 at single rate
