OBJECTIVES OF THE PROGRAMME :
To provide administrative/secretarial support to the WPRO Staff Association under the overall responsibility of the Chairperson, Staff Association.
Description of duties:
Under the direct supervision of the Chairperson of the WHO-WPR Staff Association (SA) and Mutual Benefit Fund (MBF) Board of Trustees with guidance from Administrative Officer, NPO/DAF, the incumbent performs the following functions:

1. Receives and screens incoming correspondence, documents and reports and routes to the supervisor and members of the Board of Trustees of the SA/MBF with full background materials; ensures their distribution and follows up on deadline.

2. Keeps and maintains a calendar of activities of the SA/MBF and coordinates with other units concerned regarding necessary preparations in accomplishing a task/activity including attendance of the Chairperson or designated representative to meetings/conferences outside of WPRO.

3. Assists the Chairperson in disseminating relevant issues and decisions concerning the general membership by drafting correspondence and / or sending out email messages.

4. Keeps updated records of all members for the MBF, i.e. eligibility for certain types of loans, payment history, current paid-up pledge; bank details and other relevant information.

5. Receives, evaluates and processes loan applications from MBF members and referring special cases to the MBF Board and prepares voucher and arrange payment for approved loans.

6. Prepares the necessary books of accounts such as the Cash Disbursement Book, Cash Receipts Books and General Journal Book.

7. Posts/journalize all financial transactions of both SA and MBF, prepares monthly financial statements, monthly payroll input, bank reconciliations, schedules of payables and receivables and accrued expenses. Monitors status and maintains a follow-up system.

8. Maintains inventory of all promotional items for sale by SA and attends to walk-in clients and processes orders from country offices.

9. Provides administrative assistance to SA and MBF activities, i.e. conducting yearly elections of Staff Committee members and MBF Board of Trustees, general assemblies, year-end parties, family day, fund raising, etc.

10. Assists SA/MBF members in related matters such as Pag-ibig remittances, Smart subscriptions/renewals and bill distribution, and attends to general queries about SA/MBF.

11. Gathers information and data for the preparation of the Chairperson's Annual Report.

12. Performs other related duties as and when required.
REQUIRED QUALIFICATIONS
Education:
Equivalent to graduation from secondary school with thorough training in secretarial duties, accounting and business practices.
Skills:
Thorough knowledge of the office procedures and good knowledge of accounting procedures; typing and computer skills and ability to adapt to various software packages; ability to discern routine from non-routine; ability to draft correspondence, summary of meetings and notes for the records; ability to work harmoniously as a member of a team and adapt to diverse education and cultural backgrounds and maintain a high standards of personal conduct.
Experience:
Five years' experience in secretarial/accounting posts preferable, including experience in WHO or in another international organization.
Languages:
Excellent knowledge of spoken and written English.
Additional Information:

477 362 at single rate
