Regional Administrative Services Unit (RAS)
The Division of Administration and Finance is responsible for the provision of efficient and effective support services to the implementation of health programmes and smooth management of the Regional Office. In this context, and in conjunction with the Regional Administrative Services (RAS), the Travel sub-unit is responsible for planning, organizing and
implementing WHO travel policies and ensuring effective and efficient coordination of all official travels of WHO staff
members and visitors in accordance with the WHO Manual
Description of duties:
1.Provide client-oriented services to staff members;
2.In close collaboration with the Travel Agent, undertake research on cost savings in respect of travel, insurance and removals and make appropriate recommendations to the Administrative Services Officer;
3.Processing Travel Authorizations and Collective TAs in consultation with administrative and technical units, indicating control number, baggage entitlements, class of travel, liaising with Travel Agent for the provision of air tickets, arranging for the "meet and assist" service on arrival at the airport and the beach and making hotel reservations;
4.Periodically update the list of recommended hotels in consultation with FSU and UNDP local Office in Congo;
5.Maintain regular contact with hotels and provide support to negotiations on preferential rates for WHO staff and visitors;
6.Arranging for baggage and accident insurance as required;
7.Assist in preparing costing for meetings, making hotel bookings;
8.Coordinate with concerned technical and administrative units the preparations for meetings providing them with the necessary information and ticket cost quotations;
9.Coordinate and process renewal and extensions of UNLPs, and national passports where required;
10.Make appropriate arrangements for timely delivery of visas;
11.Plan and organize efficient travel and transport arrangements for AFRO Governing Bodies Meetings and
technical meetings in the Regional Office;
Produce quarterly statistical reports on Travel expenditure;
12.Supervise the Travel Agent and constantly monitor the level of implementation of the agreement;
13.Perform any other duties as required.
Essential: First university degree in business administration or related field, or equivalent in training and/or self-study in the travel industry.

Desirable: Qualifications in management
Good knowledge of the travel industry and the application of airfare levels; excellent inter¬personal relationships with clients and staff at all level; ability to explain positive and negative decisions to clients and staff in a way that increases acceptability; proven ability to lead a team.
Essential: At least 5 (five) years of significant travel industry experience covering a number of specialized areas of competence within the industry, with some years of international experience in negotiating within the travel industry. Noteworthy experience in transpor management and significant hands-¬on experience in making travel arrangements, calculating fares and formulating requests for reimbursement from agencies and airlines;
Desirable: Previous experience in administrative or programme areas in WHO or UN agency, preferably in a developing country.
Excellent knowledge of English or French with a good working knowledge of the other; knowledge of Portuguese would be an asset.
Annual salary: (Net of tax)
US$ 56,091 at single rate
US$ 60,091 with primary dependants
Post Adjustment: 65.3 % of the above figure(s). This percentage is to be considered as indicative since variations may occur each month either upwards or downwards due to currency exchange rate fluctuations or inflation.
