OBJECTIVES OF THE PROGRAMME :
The Administrative Service Office provides full range of administrative and financial support and services to all regional activities and programmes to facilitate the achievement of WHO objectives; enabling and support functions; administrative support services necessary for the efficient functioning of the Organization provided.
Description of duties:
Under the general supervision of the Administrative Officer (NPO) and the Administrative Services Officer (ASO), the incumbent will perform the following duties:

1. Draft replies to routine correspondence;

2. In coordination with and under the general guidance of the ASO, set up and maintain office records and reference files on various subjects;

3. Maintain a record of all incoming communication with appropriate system of referral and follow up;

4. Assist in gathering, compiling and maintaining information relevant to the administration and finance, including various statistics required by ASO; creation of unit's purchase orders (POs) and payment; monitoring of encumbrances and Administrative Service Unit (ASU) contracts;

5. Photocopy and collate documents, especially confidential materials needed by ASO as briefings for the Regional Director/Director, Programme Management and for meetings, and distribution to Administration and Finance Officers, WHO Representatives, Country Liaison Officers, etc;

6. Prepare briefing folders for supervisor's duty travel;

7. Collect and collate copies of correspondence and facsimiles pertaining to Administration and Finance units for AO/NPO's review and routing to ASO;

8. Assist in the physical arrangements required for meetings convened by ASO, including typing, collation and distribution of documentation, room reservation, etc;

9. Assist in updating the unit's copies of the WPRO Policies and Procedures Handbook, directories and ASO portal;

10. Assist for the upkeep of ASO's Office, including inventory of office supplies;

11. Provide assistance under the general guidance of Administrative Officer (NPO) in the performance of general clerical duties, such as routing of publications and documents, answering and placing telephone calls, following up submission of ASO's requirements with other units, etc;

12. Perform other related duties, as required.
REQUIRED QUALIFICATIONS
Education:
Graduation from secondary school or equivalent with thorough training in secretarial duties and office practices.
Skills:
Thorough knowledge of office procedures. Typing skills at required speed. Ability to discern routine from non-routine tasks and ability to draft routine correspondence. Skills in the use of word processing equipment and standard office software. Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain a high standard of personal conduct.
Experience:
Three years experience in secretarial or clerical positions. Experience in Oracle-based or other Enterprise Resource Planning (ERP) systems is an asset.
Languages:
Excellent knowledge of written and spoken English.

Annual salary: (Net of tax)
339 949 at single rate
