The objective of the Expanded Programme on Immunization is to reduce the morbidity and mortality from diphtheria, pertussis, tetanus, measles, poliomyelitis, tuberculosis, hepatitis B and other vaccine-preventable diseases by providing immunization against theses diseases. In particular, to ensure that the Western Pacific Region maintains its poliomyelitis-free status and accelerate progress towards measles elimination and hepatitis B control in the region.
Description of duties:
Under the general supervision and guidance of the Team Leader Expanded Programme on Immunization, the incumbent will carry out the following duties:

1. Screens incoming correspondents, documents and reports, and routes to the supervisor with full background information; ensures their distribution and follows up on deadlines;

2. Takes/transcribes technical and non-technical correspondence, reports, from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with procedural accuracy and format;

3. Drafts/prepares general correspondence, briefing notes, background matersials, etc. on brief instructions or at own initiative; types statements, reports, studies including statistical tables, etc. from manuscripts; takes notes at meetings and prepares minutes;

4. Arranges appointments for supervisors; receives visitors; places and screens telephone calls; responds to routine requests for information; and prepares briefing folders for supervisors' duty travels;

5. Opens, organizes and maintains general project files;

6. Assists in searching, compiling and maintaining information relevant to the programme; maintains, dates and monitors information on project activities in the Global Management System and generates reports as required;

7. Provides secretarial support to organize meetings, workshops and training courses, including prepartion of related folders;

8. Provides secretarial and clerical support to visiting staff and consultants as and when required;

9. Occassionally replaces secretarial staff within the office during their absence, as coordinated by the Administrative Assistant;

10. Performs other duties as may be required.
Equivalent to graduation from secondary school with thorough training in secretarial and clerical duties. Formal or self-training in the use of standard office software and/or training in Oracle-based or other system is an asset.
Thorough knowledge of administrative rules and regulations, GSM processes, word-processing, and spreadsheets. Comprehension of WHO programming and budgeting rules; basic knowledge on website management; strong interpersonal and communication skills, diplomacy and versatility; highly organized and self-motivated; ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain high standards of personal conduct.
Three years of relevant experience in secretarial/clerical post or similar work experience in a large organization, preferably in WHO or in another international organization.
Excellent knowledge of spoken and written English.
