To support the efforts of Member States to prepare for and handle health emergencies and disasters, by leading inter-sectoral collaboration efforts, and by providing technical support in the areas of programme planning, capacity building, risk management and mitigation, and recovery / rehabilitation efforts.
Description of duties:
Under the supervision and guidance of the Team Leader, Emerging Disease and Surveillance Response (TL/ESR), the incumbent performs the following functions:

1. Drafts correspondence on routine matters on own initiative or from brief instructions; takes notes at meetings as basis for minutes and assists in providing interpretation as and when required;

2. Takes/transcribes non-technical and technical correspondence, reports, etc. from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with procedural instructions and format; types reports, studies, including statistical tables, etc. from manuscripts using a word processing equipment;

3. Liases with corresponding technical unit in country offices on administrative matters to facilitate implementation of programme activities including recruitment, duty travel, supplies and equipment with an effective follow-up and monitoring system;

4. Assists in searching, compiling and maintaining information relevant to the programme and in monitoring of projects implementation in the Global Management System;

5. Arranges appointments for supervisor, receives visitors; places and screens telephone calls, responds to routine requests for information and prepares briefing folders for supervisor's duty travels;

6. Maintains office records, including financial records of project expenditures, filing and reference systems on various subjects;

7. Sets up schedules of appointments for other members of the team and visitors; prepares briefing folders for their duty travel; field staff and other temporary staff;

8. Provides support in the arrangements for meetings, workshops and training courses, including preparation of related folders;

9. Occasionally replaces secretarial and clerical staff within the unit during their absence, as coordinated by the Administrative Assistant;

10. Performs other related duties as may be required.
Equivalent to graduation from secondary school with thorough training in secretarial and clerical duties
Thorough knowledge of office procedures. Good communication and interpersonal skills. Ability to act with tact, diplomacy, discretion and respect for confidentiality. Ability to draft correspondence, summary of meetings, and notes for the record, etc. Typing skills and ability to take dictation at required speed. Ability to discern routine from non-routine. Good computer skills and ability to adapt to various software applications. Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain a high standard of personal conduct.
Three years of expeience in secretarial/clerical posts, preferably including experience in WHO or in another international organization
Excellent knowledge of spoken and written English.

Php 404 545 at single rate
